Woodmere seeks a detail-oriented Development Associate to support fundraising, membership, and donor engagement initiatives. Serving as the primary administrator of the Museum's CRM database (Blackbaud Altru), this role combines data management, reporting, membership administration, donor stewardship, volunteer coordination, and event support. The ideal candidate is analytical, highly organized, and excited to contribute to the success of a dynamic arts institution.
The Development Associate reports to the Development Manager and collaborates closely with the Development Department and Executive Offices to support fundraising, membership, and donor engagement initiatives. The position combines database administration, membership management, event coordination, and donor stewardship support to help the Museum achieve its fundraising and membership goals.

Responsibilities
The Development Associate is an anchor figure in the development department, serving as a crucial organizer and administrative professional involved in all development activities.
CRM & Development Operations
- Serve as primary administrator of the Museum's CRM system (Blackbaud Altru)
- Maintain the accuracy, completeness, and integrity of donor, member, prospect, and constituent records.
- Process memberships, pledges, and other contributions accurately and in a timely manner.
- Generate queries, reports, mailing lists, dashboards, and fundraising analytics to support development activities
- Manage membership renewals, billing, and membership fulfillment.
- Track donor interactions, stewardship activities, and fundraising outcomes.
- Support annual appeals, fundraising campaigns, and donor communications through data management and reporting.
Donor & Fundraising Events
- Assist in the planning and execution of donor cultivation events, fundraising events, exhibition openings, and member programs, and Director luncheons.
- Manage invitation lists, guest registration, RSVPs, seating plans, and event communications.
- Coordinate event-related data tracking and post-event reporting.
- Collaborate with museum staff, volunteers, vendors, and caterers to ensure successful event execution.
- Support donor stewardship activities before, during, and after events.
Volunteer Management
- Oversee volunteer recruitment, onboarding, scheduling, and communication.
- Maintain volunteer records and support volunteer engagement initiatives.
Events
- E-blast mailings
- Assist with various Woodmere events
- Coordinate invitations lists, RSVP tracking, seating, through Altru as well as guest communications
- Available on weekends and evenings to assist with events
Administrative duties
- Development Department Board Presentation
- Assist with fundraising campaigns as needed, including processing and assembling mailings
Preferred Qualifications
- Bachelor’s degree in nonprofit management, business, communications, arts administration, or a related field.
- 2 to 5 years of experience in fundraising, development, or a related field in a not-for-profit institution.
- Experience with donor stewardship.
- Experience with Blackbaud Altru strongly preferred.
- Experience administering a CRM or donor database required.
- Advanced proficiency in Microsoft Excel, including sorting, filtering, formulas, reporting, and data analysis.
- Experience generating reports, queries, and mailing lists from a CRM system.
- Experience supporting fundraising campaigns, and special events.
- Experience working in a museum, cultural institution, nonprofit, educational institution, or membership-based organization preferred.
